POSNXTGEN is a point-of-sale, inventory and billing platform provided by Karthik Information Technology ("we", "us"). This policy explains what information we collect when businesses and their staff use POSNXTGEN at app.posnxtgen.in, how we use it, and the choices available to you.
1. Who this applies to
Our customers are businesses, such as retail shops, and the staff they invite to POSNXTGEN. For account and business information, we decide how it is handled. Shops also record information about their own customers, such as a name and phone number on a bill. For that information the shop decides why it is collected, and we process it on the shop's behalf to provide the service.
2. Information we collect
- Account information: name, email address, phone number and login credentials of business owners and staff. Passwords are stored only as secure hashes. If you sign in with Google, we receive your name, email address and profile picture from Google.
- Business information: company details such as name, address and GST number, branches, products, stock, prices, purchases, sales, bills and accounting records that the business enters.
- Information about a shop's customers: the name, phone number and purchase details a shop records on a bill.
- WhatsApp information: when a business connects its WhatsApp Business account, we store its WhatsApp Business account and phone number identifiers, display name, quality rating and an access token. When a bill is sent on WhatsApp, we store the recipient's phone number and name, a record of their consent (when it was given, how, and by which staff member and branch), and the delivery status of the message.
- Payment information: subscription payments are processed by Razorpay. We receive the payment status and reference; we do not receive or store card numbers.
- Technical information: IP address, browser type and server logs, and the cookies needed to keep you signed in and to protect forms against forgery. We do not use advertising or tracking cookies.
3. How we use information
- To provide POSNXTGEN: billing, inventory, reports and accounting.
- To send a bill to a shop's customer on WhatsApp, when the shop's staff choose to send it.
- To manage subscriptions and payments.
- To provide support, keep the service secure and prevent misuse.
- To meet legal obligations, including tax and accounting requirements.
We do not sell personal information and we do not use it for advertising.
4. WhatsApp messages
A business can connect its own WhatsApp Business number to POSNXTGEN. Bills are then sent from that business's number, only when a staff member sends a bill and the customer has agreed, for example by giving their number at the counter to receive the bill. These are transactional messages containing the invoice as a PDF. We do not send marketing messages. Messages are carried by Meta Platforms through the WhatsApp Business Platform and are also subject to WhatsApp's own terms and privacy policy.
5. Who we share information with
We share information only with service providers who help us run POSNXTGEN, and only as far as they need it:
- Amazon Web Services, which hosts our servers and databases in its Mumbai (ap-south-1) region in India.
- Meta Platforms, through the WhatsApp Business Platform, to deliver WhatsApp messages a business chooses to send.
- Razorpay, to process subscription payments.
- Google, if you choose to sign in with Google.
- Our email provider, to send account emails such as password resets.
We may also disclose information where the law requires it.
6. Security
Connections to POSNXTGEN are encrypted with HTTPS. WhatsApp access tokens are encrypted before they are stored. Access to production systems is limited to the people who need it to run the service. No system is perfectly secure, but we work to protect the information we hold.
7. How long we keep information
We keep account and business information for as long as the business's account is active. After an account is closed, we delete or anonymise it, except for records we must keep for longer under law, such as tax and accounting records.
8. Your rights
Under applicable Indian law, including the Digital Personal Data Protection Act, 2023, you can ask to access, correct or delete your personal information, withdraw consent you have given, and raise a grievance with us. If you are a customer of a shop that uses POSNXTGEN, you can contact that shop, or contact us and we will help. See our data deletion page for how to have data deleted.
9. Children
POSNXTGEN is a business tool and is not intended for anyone under 18.
10. Changes to this policy
We may update this policy. When we do, we will change the effective date above, and for significant changes we will notify business accounts.
